Essential Functions

This person reports to the Chief Ministry Officer as a key part of the leadership team. The Strategic Events Director provides visionary and operational leadership for South Texas Youth for Christ’s high-impact events—including camps, retreats, worship nights, and other strategic gatherings. This role is equal parts organizer, team builder, and spiritual leader—turning big-picture ideas into well-executed, Christ-centered experiences that reach young people with the hope of Jesus.

The ideal candidate is a skilled administrator with strong event-planning experience, passionate about building teams, managing details, and empowering volunteers. This leader creates environments where young people can encounter Christ and leaders can thrive in community and mission.

Key Responsibilities

1. Event Strategy, Planning & Execution

  • Oversee the full planning lifecycle of major STYFC events, including high school & middle school retreats, summer camps, volunteer and staff retreats, worship nights, and other events.
  • Develop event timelines, checklists, and budgets; ensure execution aligns with STYFC’s mission and youth culture.
  • Secure venues, manage logistics (transportation, housing, meals, safety protocols), and coordinate post-event follow-up.

2. Team Building & Leadership Coordination

  • Recruit and organize diverse event teams made up of staff, volunteers, and ministry leaders.
  • Create and lead planning meetings, provide clear roles, timelines, and expectations.
  • Equip leaders with the tools and training they need to serve effectively—before, during, and after events.
  • Foster joyful camaraderie and unity among all event teams.

3. Administrative Excellence

  • Manage event registration systems, waivers, travel coordination, room assignments, and schedules.
  • Ensure communication flows clearly between teams, families, and partners, leading up to events.
  • Maintain documentation, processes, and evaluation tools to improve year-over-year systems and outcomes.

4. Recruitment & Community Engagement

  • Work with ministry and YLP staff to recruit youth participants, volunteers, and leaders for events.
  • Build relationships with church partners, schools, and other community organizations to expand reach.
  • Represent STYFC events at church services, youth groups, school visits, and community gatherings.

5. Communications & Social Media (Event-Specific)

  • Coordinate with the Communications Team to promote events through engaging social media, email campaigns, flyers, and videos.
  • Support live content capture and storytelling during events.
  • Ensure all communications reflect STYFC’s voice, values, and branding.

6. Fundraising & Scholarship Support

  • Help develop and implement fundraising efforts for event scholarships and operational costs.
  • Steward relationships with donors and community supporters who are passionate about youth events.
  • Track and report on scholarship impact and event outcomes.

Key Qualifications

  • Deep Faith & Spiritual Maturity: Passionate follower of Jesus with a commitment to personal discipleship and relational ministry.
  • Organizational Excellence: Strong project management skills with the ability to manage multiple moving parts and deadlines.
  • Team Leadership: Proven ability to recruit, equip, and lead diverse teams with clarity and care.
  • Administrative Strength: High attention to detail, systems thinker, and able to manage registration, logistics, and scheduling.
  • Strong Communicator: Comfortable in both written and verbal communication across various audiences (youth, parents, leaders, donors).
  • Community-Oriented: Naturally relational and passionate about connecting with churches, schools, and families.
  • Social Media Awareness: Familiar with how to use digital tools to promote and capture the story of events.
  • Fundraising-Minded: Willing and able to raise support for personal role and contribute to scholarship fundraising.
