Position Summary

Position Summary

The Outreach Assistant is an organized, creative individual who will provide invaluable assistance to the development team by overseeing volunteer coordination, providing event support, and managing media. This position works closely with Community Engagement Manager and the Development Team. 

Essential Functions

Volunteer Coordination:

•Manage, direct, and follow-up with all applicants through each step of the volunteer onboarding process.

•Master the use of the HUB to provide technical assistance to staff and volunteers. 

•Provide direction and follow-up to keep volunteers moving through applications.

•Interviews volunteers as needed.

•Coordinates and connects volunteers with the YFC Ministry Director and ministry site directors to assign volunteers to sites and roles.

•Understands and tracks each ministry site’s specific volunteer needs to be best equipped to direct volunteers to areas of need.

•Guide volunteers through annual requirements each year, working closely with the Office Manager and ministry site directors to bring everyone up to date, host two “annual requirements tune-ups” per year.

•Sends birthday and Christmas cards to volunteers. 

•Update storyboards at social enterprises monthly.  

•Create and update an internal chapter database of all volunteers, including official start dates, birthdays, anniversaries, and other pertinent information.

•Ensure all volunteers are personally invited to the Comedy Cafe - in collaboration with ministry staff.

•Send yearly volunteer survey to all volunteers and collect and compile data for ministry team. 

Event Assistance: 

•Keep “hosting” supplies stocked in event kitchen 

•Keep TOH stocked in event kitchen fridge

•Oversee See the Story staff coordination and tasks and day of set up and clean up 

•For all events: track and organize guestlists, make nametags, coordinate food and drinks, purchase event supplies, order and pickup TOH, guest email communications, guest followup

•Deliver TIUFK prizes to prize winners 

•Act as table host coordinator for Be the Story (includes table host invitations and process, ongoing communication, and day of coordination) 

•Oversee and coordinate the collection of YFC54 prizes

Media Management:

•Weekly visits to every ministry site to collect photos

•Take all new staff photos 

•Take all new W.E.R.X. student photos

•Take all event photos 

•Edit all photos needed

•Website update assistance 

•Assist with creating graphics for social media, website, and events 

•Assist with graphic design for printed pieces 

•Set up all event pages and ticketing on website

•Collect information for and create volunteer spotlight posts

•Assist with creating social media overall strategy and plan. 

General Assistance:

•There will be other development projects that the Development Assistant will be given throughout the calendar year, including, but not limited to assistance with year-end campaign, representing YFC to the community, contacting businesses and individuals, and running various errands. 

Spiritual Responsibilities

  • Seek God’s guidance and wisdom, through prayer and meditation, for the organization as a whole as well as for specific ministry initiatives.
  • Participate and lead regular times of prayer, devotion and worship as a regular aspect of your role within YFC.
  • Teach and preach from the Holy Bible at YFC staff meetings, conferences, camps and events.
  • Model empathy, humility and care for all people. This includes promoting equity and inclusion in word and in the practice of faith expression.

YFC employees will have an opportunity to be commissioned or licensed as a minister of the Gospel through the established Youth for Christ process, and/or ordained by an outside body recognized by Youth for Christ USA.

Fundraising Responsibilities

All YFC employees are expected to regularly and actively participate in faithful activities that advance the stewardship functions of YFC/USA.

Position Requirements

Knowledge & Skills

•High capacity for organization and administration. Detail-oriented, able to plan ahead. 

•Values accountability and able to ask for assistance when needed. Takes direction and follows prescribed models and systems. 

•Self-starter, go getter, able to get things done. Can brainstorm and think creatively. 

•Strong verbal and written communication skills. Comfortable interacting with people, talking on the phone, texting, and emailing.  

•Patient and persistent with people and processes. Can communicate, uphold expectations, and say “no” when necessary. 

•Tech-savvy and experienced with Google Suite, MS Office (Word and Excel required), Mailchimp, databases (Saleforce and Funraise experience preferred), social media platforms (FaceBook and Instagram required), Canva (Photoshop preferred), and web pages.

•Photography experience; the ability to take, edit, and organize photos of individuals, groups, and events.  

•Graphic design experience; able to create social media posts, brochures, flyers, tickets, etc.

•Comfortable managing stock and inventory and creating systems for managing said inventory. 

•Able to work independently and alongside of others in a support role and can lead small staff teams under the direction of the CEM.

Credentials Required & Preferred Education

•Bachelor’s degree preferred

•Must feel a calling to see unreached young people come to know Jesus! 

•Must have a good record in working with children and youth; cannot be on the CPS Registry or the Sex Offender Registry

•1 year of experience in administration, events, and media preferred.
