Position Summary

The Events Lead will ensure the successful delivery of all events assigned to the Projects and Events department of YFC USA.

Position Requirements

Essential Functions

Event Leadership

  • Lead the established event priorities of the Projects and Events Department.
  • Supervise event specialists and lead in combination with the Lead Project Specialist of the Projects and Events Department.
  • Cultivate and contribute to a team environment where YFC’s cultural attributes are fully realized and work support is easily given and gained
  • Oversee ongoing operations and execution of all assigned events according to strategic directives and established processes.
  • Consistent application of continual improvement, demonstrates event agility, realizes flexibility of scale
  • Assignment of minimum essential matrixed personnel for event delivery according to established event charters.
  • Ensure event specialists and all matrixed personnel are appropriately assigned to events and specific event tasks according to project procedures.
  • Mitigate risk through enhanced coordination with the Risk and Legal team. Record and mitigate identified risks accordingly. Mitigate risk through rigorous contracting procedures.

Financial Leadership

The EL will be responsible to draft and maintain the budget for all events assigned to the Projects and Events department.

  • Maintain appropriate staffing levels (admin and specialists) through event planning and ongoing budget responsibilities.
  • In coordination with the Risk and Legal Department, solicit, negotiate and ensure adherence to all contracts and agreements with properties and other vendors.
  • Proactively adjust revenues and expenses to ensure net objectives are upheld without impacts to quality.

Event Management

As needed, manage an appropriate amount of event tasks to ensure a level load of tasks is assigned to department staff.

Long Term Planning

Forecast department expectations and needs 3 - 5 years ahead.

Building Host/Guest Experience Oversight

  • Provide leadership and oversight for the Building Host/Guest Experience Coordinator role, ensuring alignment with organizational goals and cultural values.
  • Supervise and support the Building Host in managing daily building operations, tenant relations, and guest experiences within the Solomon Building.
  • Oversee the coordination of onsite meetings, room reservations, and medium-sized events, ensuring seamless execution and a positive experience for all stakeholders.
  • Collaborate with the Building Host to maintain effective communication with contractors, manage inventory, and ensure timely completion of facility maintenance and inspections.
  • Partner with the Building Host to enhance tenant and guest experiences through innovative solutions and exceptional service.
  • Ensure the Building Host adheres to established processes for logistics, technology support, and mail handling to maintain operational efficiency.
  • Provide strategic oversight of the facilities budget, ensuring alignment with organizational priorities and financial objectives.
  • Collaborate with the Risk and Legal team to mitigate risks related to building operations and guest experiences.

Support of the National Service Center and Strategic Plan

  • Lead or contribute to matrixed work as assigned
  • Abide all deadlines and procedures
  • Complete routine tasks (task list documents, use of systems, performance review, budget processes etc.)

Because the overriding religious purpose and mission of Youth for Christ USA is to communicate and introduce the Gospel of Jesus Christ to young people and their families, and in that regard to make, educate and encourage life-long disciples of the Lord Jesus Christ, it is very important that you as an employee in the movement of Youth for Christ be recognized as an associate minister of

the Gospel.

As an employee of Youth for Christ and an associate minister of the Gospel, YFC expects all employees to:

  • Participate and lead regular times of prayer, devotion and worship as a regular aspect of your role within YFC.
  • Teach and preach from the Holy Bible at YFC staff meetings, conferences, camps and events.

Additionally, YFC employees will have an opportunity to be commissioned or licensed as a minister of the Gospel through the established Youth for Christ process, and/or ordained by an outside body recognized by Youth for Christ USA.

Fundraising Responsibilities

All YFC employees are expected to regularly and actively participate in faithful activities that advance the stewardship functions of YFC/USA. These activities will include—but are not limited to— extending invitations to fund raising events, recruiting personal circle of influence/YFC donor contacts, sending letters, handwritten notes, personal calls, and personally ministering to donor contacts.

For Affiliate and Chapter Staff: YFC may attach a minimum fundraising goal to certain projects, activities, departments, or individuals.

Budget Responsibilities

A Budget Manager is responsible to align all financial resources to the YFC/USA strategic plan in accordance with the delegation and direction of the Division Head. The Budget Manager is responsible for coding, approval and financial decision-making for their assigned Division, Department and/or Action Plan budget. When a budget is overfunded or underfunded, the Budget Manager is responsible to course correct though the MCCR process.

Credentials Required & Preferred Education

  • College degree or equivalent event experience
  • Minimum two years event experience
  • Project Management (PMP) experience preferred
  • Certification in meeting or event planning preferred

Physical Requirements

Physical Requirements: Ability to communicate orally with customers, vendors, management, and other co-workers is crucial. Regular use of the telephone and e-mail for communication is essential. Sitting and standing for extended periods is common. Hearing and vision within normal ranges is essential for

day-to-day conversations, to receive ordinary information, and to prepare or inspect documents. We are committed to providing reasonable accommodations to enable individuals with disabilities to perform essential functions.

Activities require the ability to remain in a stationary position 50% of the time, occasionally move about inside the office to access files or office equipment, operate a computer and other office productivity machinery, such as a calculator, hand held devices, copy machine, and computer printer.

Occasional exertion of lifting up to 50 lbs. Good manual dexterity required for the use of computers, mobile devices, and other productivity technologies.

The job is performed indoors in a traditional office setting. Extended periods of sitting and extensive work at a computer and phone are normal.

Ability to stand on your feet for at least 8 hours a day.

Travel Requirements

Expect at least 15% overnight travel.
