Position Summary

Essential Functions
The Donations Processor/Administrative Assistant exists to advance the mission of Greater Iowa Youth For Christ by serving as a donations processor for the GIYFC Chapter in addition to providing administrative support. Qualified candidates must have a heart for serving others, be detail-oriented, comfortable with basic math, be organized, and a self-starter. Additionally, this candidate must possess strong relational skills and be proficient in both written and verbal communication.  
Donations Processing
  • Oversee the donation receipting process for all donations
  • Responsible for mail merging, printing, and prepping of all donation receipts
  • Ensure that donors who prefer electronic receipts receive them from the software in a timely manner
  • Accurate record keeping and organizational skills
  • Review the accuracy of receipts and report the completion of receipts
  • Work closely with the Operations Director to understand general ledger codes for income and expense coding
  • Pick up and deliver documents from Hogan Hansen
  • Pick up and drop off mail at the USPS in Mason City
  • Deliver bank deposits to First Citizens Bank and NSB Bank in Mason City
  • Regular communication with GIYFC’s assigned accountant at Hogan Hansen
Administrative and Office Management
  • Meet, greet, and direct visitors
  • Answer telephones and take messages
  • Answer emails, scan documents, and provide website correspondence
  • Complete filing duties (digital and physical files)
  • Assist with administrative projects: chartering, surveys, database information, birthday and thank you cards, promotional materials, Christmas ornaments, donor gifts, and mailings
  • Assist with special events/projects: Comedy Cafe, Peaches, Be the Story, bulk mailings and Newsletters
  • Attend training opportunities and staff retreats/conferences when appropriate
  • Managing the YFC Master Calendar
Cross-Trained on the Following Duties to cover absences
  • Process accounts payable
  • Assist with managing the student, volunteer, staff, and donor databases
  • Assist with managing current information on the YFC website/Impact
  • Assist in Facility reservations/bookings
  • Assist with monthly financial report distribution to staff
  • Order and manage office supplies, equipment, and ministry-related inventory
  • Helps ensure that snacks for staff and board members are on hand
  • Manage and facilitate mailings
  • Order and manage building cleaning supplies and assist with general facility upkeep
  • Oversees the weekly cleaning staff
  • Tidies up the front office, kitchen, and boardroom on an as-needed basis
  • Maintain the storage room just off of the kitchenette
Spiritual Responsibilities
Because the overriding religious purpose and mission of Youth for Christ USA is to communicate and introduce the Gospel of Jesus Christ to young people and their families, and in that regard to make, educate and encourage life-long disciples of the Lord Jesus Christ, it is very important that you as an employee in the movement of Youth for Christ be recognized as an associate minister of the Gospel. As an employee of Youth for Christ and an associate minister of the Gospel, YFC expects all employees to:

Position Requirements

Knowledge & Skills

  • Excellent interpersonal relationship skills, excellent verbal communication and writing skills.
  • Excellent organizational skills.
  • Ability to present oneself professionally via telephone, text, or email.
  • Ability to use tact, excellent judgment, and discretion.
  • Knowledge of Google Calendar, spreadsheets, email, and data entry.  
  • Excellent attention to detail
  • Ability to establish positive, effective, and appropriate working relationships with a wide variety of individuals throughout the organization.
  • Ability to learn/train on a variety of computer software programs including CMS data input, Online donation processing systems (Giving Fuel and Salesforce), as well as Microsoft and Google Suite programs.

Fundraising Responsibilities

All YFC employees are expected to regularly and actively participate in faithful activities that advance the stewardship functions of YFC/USA. These activities will include—but are not limited to— extending invitations to fund raising events, recruiting personal circle of influence/YFC donor contacts, sending letters, handwritten notes, personal calls, and personally ministering to donor contacts.
