Position Results Description

Administrative Support Assistant 

Hours: 16-18 hours/wk. We have a strong preference of Mon-Thurs afternoons.

Supervisor: Eric Blake, Executive Assistant

Position Responsibilities:

  1. Reception
    1. Warmly and positively greet people as they enter the building and build relationships. Identify their chief need as soon as possible. Additionally, engage positively and warmly with staff and adult leaders.. Reminder-you are the first point of contact for almost everyone who enters our facility and their story matters.
    2. Work with tenants, renters, and vendors to help meet their needs
    3. Answer phones and direct them to the appropriate person.
    4. Stay on top of the cleanliness and material needs of the office
    5. Take initiative on things that you see needing to be done to support staff, clean the building etc as you have down time
    6. Misc tasks: deliver packages etc.
  2. Gym Scheduling
    1. Respond in a timely manner to rental requests for the gym
    2. Keeping Mission at the center-coordinate with Ministry Staff and Administrative Staff in regards to their needs for gym space.
  3. Cleaning
    1. Walk through the building each day and complete clean up after a night of programing (pushing in chairs, picking up lost and found items etc)
    2. Kitchen Cleaning: running the dishwasher, putting away clean dishes etc
    3. Laundry: running loads of towels from kitchen etc
  4. Event Support
    1. Help run our key fundraisers (Be the Story, See the Story, Golf Tournament, Resch memorial Trap Shoot,, Peaches etc)
    2. Think ahead to dates on the calendar, keep all events moving forward in planning and in execution
  5. Rebalance Support
    1. Help setup snacks/meals
    2. Help clean up after a class (games etc)
  6. Work closely with the Executive Assistant and Ministry Admin. Assistant to address needs as they arise.

Position Requirements

Knowledge & Skills

  • Administrative experience preferred.
  • Work with confidential and sensitive information in a professional manner.
  • Must keep detailed records at all times and develop a highly efficient electronic and paper filing system.
  • Must be comfortable learning and utilizing Proximity, our scheduling and door control platform.
  • Work on any special projects as requested with the ability to prioritize and reprioritize.
  • Relationally driven with natural ability to grow and maintain relationships with significant and influential individuals both internally and externally.
  • Strong attention to detail, ability to problem solve, focus and analyze situations and data in the face of conflicting priorities and multiple demands while meeting deadlines and maintaining accuracy.
  • Ability to listen well, follow directions and work collaboratively with colleagues across many departments and ministries.
  • Self-initiated ability to analyze and improve on operations.
  • It is preferred to have intermediate/advanced typing and computer skills including: Outlook, Excel, Word, PowerPoint, and general internet knowledge.
