Position Summary
The purpose of the Volunteer Coordinator is to recruit, screen, train and place volunteers at our 17+ ministry sites, furthering our goal of placing youth in authentic, Christ-sharing relationships with caring adults. The Volunteer Coordinator is pivotal in helping us reach more youth. S/he will be responsible for getting the YFC name and opportunities out in the community, training staff to recruit, motivate, and retain volunteers, screening and providing basic training to new volunteers, and monitoring ongoing volunteers to assure volunteer satisfaction and that all training & screening remains up to date.
As 60% of all volunteers become donors and may be recruited from our Development team's See the Story events, the Volunteer Coordinator will also work closely with the Development Director to place people effectively and connect volunteers with opportunities to learn about and give toward financial needs as they are able.
Additionally, because s/he handles sensitive information for volunteers and staff candidates, including background checks, references, and other personal information, the Volunteer Coordinator must be able to maintain excellent records, manage a system of records, and complete paperwork in a timely fashion with the utmost respect to confidentiality.
Essential Functions
Daily Duties
· Spend a minimum of 15 minutes in devotion, prayer, and worship
· Directs volunteer inquires to Orientations
· Holds staff accountable for training & appreciating volunteers
· Answers phone (if in the office) and fields calls
· Maintains volunteer files and assures all pieces are up-to-date and complete
· Completes follow up calls with prospective volunteers, moving them through the Orientation & training process to site placement; assures smooth hand-offs with site leadership.
· Develops training for staff & volunteers in regards to authentic, Christ-sharing relationships & volunteer retention
Weekly Duties:
· Spend a minimum of 2 hours on fundraising: donor care, donor thank yous, newsletter, donor appointments, appointment setting, visits to churches/Bible Studies, etc.
· Meet with Operations/Office Staff to plan
· Send prayer and praise requests to prayer team
· Sends report of pending applications to Miami YFC staff
· Calls volunteers to encourage them and/or follow-up on needed paperwork on training
· Attends community events where they can recruit new volunteers
· Visits sites to encourage volunteers and observe staff leading volunteer teams
· Runs Impact People report and contacts necessary staff & volunteers concerning screening, car insurance, and any other necessary Risk Management qualifications
· Recruit volunteers and assure all paperwork is turned in to main office, background check completed, and references reviewed
Monthly Duties
· Attend Staff Meeting twice a month (one in person, one via phone)
· Attend Supervisory meeting with Supervisor
· Create a list of ministry and personal goals and turn into Supervisor
· Complete any training needed
· Represent YFC at events as needed
· Turn in any Expenses to Operations Manager
· Leads 2 Orientations in conjunction with Miami YFC staff
· Completes or arranges staff completion of interviews for all new volunteers – phone & in-person
· Completes or arranges staff completion of volunteer references checks – by phone and on paper
· Maintains a volunteer calendar of ministry opportunities
· Develops strategy for recruitment, retention & training volunteers
· Handles volunteer off-boarding process and exit interviews
· Review Impact data for volunteer engagement and creates monthly volunteer report form to be received from staff
· Highlights one volunteer in a “profile” for Miami YFC website, social media, and emails
· Contacts volunteers to check on spiritual, mental, emotional health & their volunteer experience; reads staff reports regarding volunteer interactions and gives summary to Ministries Director
Quarterly/School Vacation Duties
· Update prayer team and support letter info
· Invite prayer supporters and volunteers to YFC prayer and praise
· Maintains volunteer files – active, inactive, incomplete – along with the Office Assistant
· Host training or appreciation events for all staff & volunteers
· Updates Impact People reports for National Office
Annual Duties
· Complete Annual Review with Ministry Director
· Participate in annual fundraising events, including but not limited to OTE and Be the Story Banquet; complete follow-up for these events and meet or exceed fundraising goals as set by Executive Director
· Write Annual Goals and share with Supervisor
· Complete Event Calendar
· Write Budget and submit for approval to Accounts Manager
Spiritual Responsibilities
YFC employees will have an opportunity to be commissioned or licensed as a minister of the Gospel through the established Youth for Christ process, and/or ordained by an outside body recognized by Youth for Christ USA.
Fundraising Responsibilities
All YFC employees are expected to regularly and actively participate in faithful activities that advance the stewardship functions of YFC/USA.
[YFC may attach a minimum fundraising goal to certain projects, activities, departments, or individuals. As a Chapter Launch employee, you are given the opportunity to engage people in giving to the Ministry. These funds are used towards the expenses of your budget. It is the responsibility of every chapter launch employee to maintain a positive account balance with YFC/USA and to be responsible for maintaining and growing revenue stream in the form of regular giving partners. Therefore, following YFC/USA’s policies and procedures for donor development and fundraising is expected.]
