Position Summary

GOAL: To advance the mission and vision of Central Ohio Youth For Christ, and subsidiaries, by recruiting, screening, and placing paid and volunteer staff to accomplish our mission with excellence.

Supervisor: Director of Operations

Hours: 20 hours/week

 

 KEY OBJECTIVES

  • Manage the volunteer and paid staff recruiting and screening process for COYFC personnel across all companies
  • Support Gracehaven employee onboarding as needed
  • Oversee job postings for all positions across COYFC and subsidiary affiliates
  • Manage personnel documentation for volunteers, interns, and paid staff
  • Responsible to fulfill COYFC staff responsibilities
  • Responsible to fulfill spiritual responsibilities

 

SPECIFIC DUTIES

Responsibilities include, but are not limited to, the following:

Volunteer and Paid Staff Recruiting and Screening

  • Send and collect all volunteer and staff application materials
  • Promptly communicate to all applications via phone and email
  • Manage personnel through the intake process to completion in a timely manner
  • Liaison between other COYFC departments related to each onboarded leader as needed
  • Coordinate and conduct volunteer and staff interviews
  • Assist with personnel recruiting and screening for other COYFC ministries as needed
  • Assist Gracehaven administration with generating necessary reporting as needed

Gracehaven Employee Onboarding Support

  • Assist with maintaining additional accurate employee documents
  • Assist Gracehaven administration with generating necessary reporting as needed

 

Oversee Job Postings and Applicant Tracking

  • Work with each COYFC department and company to ensure that all staff positions have accurate, compliant, and up-to-date job descriptions, and that they are accessible
  • Write job postings to attract candidates using YFC/USA Careers, Paycor Recruiting, and other recruitment avenues
  • Research ways to enhance recruitment efforts for all paid staff roles and implement relevant findings
  • Organize and manage the applicant tracking system (ATS) through Paycor Recruiting.
  • Train other COYFC managers as needed on the ATS

Documentation Management

  • Ensure that accurate volunteer and staff files are kept for all personnel
  • Accurate data input across Donor Perfect, YFC/USA Knowledge Base, and other data repositories
  • Generate reports when necessary for staff and volunteers
  • Assist Director of Operations in facilitating and compiling results from the Annual Review and Refocus process for all COYFC employees
  • Assist with annual YFC/USA chartering process as needed to ensure completion

COYFC Staff Responsibilities:

  • Participate in regular supervision meetings with supervisor
  • Attend all required COYFC staff meetings
  • Support COYFC chapter-wide fundraising efforts by inviting a minimum of 4 new guests to See the Story tours or the Be the Story luncheon event each year

Spiritual Responsibilities:

Because COYFC and its subsidiaries are a part of the same faith-based organization and share a faith mission and set of values, we require all employees to consistently apply and live according to the religious mission and theological beliefs. Each staff member, regardless of role, is asked to:

  • Articulate and uphold COYFC religious beliefs and practices at work and outside of work. Each employee serves to represent the religious message and mission of COYFC (as outlined in the Statement of Faith and Mission) to the broader community.
  • Be ready and willing to lead and contribute to distinctly Christian activities such as devotional worship or prayer services.
  • Regularly encourage and teach existing and prospective volunteer leaders through the Holy Bible
  • Pray for God’s direction and wisdom when recruiting and screening prospective staff and volunteer personnel

Position Requirements

Knowledge & Skills

  • Administrative/Executive Assistant experience required.
  • Work with confidential and sensitive information in a professional manner.
  • Must keep detailed records at all times and develop a highly efficient electronic and paper filing system.
  • Must be comfortable learning and utilizing YFC's Salesforce CRM technology on a daily basis.
  • Work on any special projects as requested with the ability to prioritize and reprioritize.
  • Relationally driven with natural ability to grow and maintain relationships with significant and influential individuals both internally and externally.
  • Strong attention to detail, ability to problem solve, focus and analyze situations and data in the face of conflicting priorities and multiple demands while meeting deadlines and maintaining accuracy.
  • Ability to listen well, follow directions and work collaboratively with colleagues across many departments and ministries.
  • Self-initiated ability to analyze and improve on operations.
  • Must be comfortable with a high frequency of electronic communication.
  • Must have intermediate/advanced typing and computer skills including: Outlook, Excel, Word, PowerPoint, and general internet knowledge.
