Position Summary

The purpose of the Projects Administrator is to professionally assist the ongoing work of YFC/USA’s Projects team.

Essential Job Functions & Duties

Assistant for the Projects Department:

  • Provide support for roadmaps, initiatives, projects and tasks for the Projects Department.
  • Coordinate schedule, appointments, travel and other administrative tasks for Projects Team individuals and group meetings (arranging flights, rentals, hotels, driving directions, etc.).
  • Coordinate support and alignment with organizational policies, divisional general practices and strategic plan governance.

Coordinates Administrative Service for Projects Team & Network as directed by Lead of Projects Department, such as:

  • Provide data and reporting support for projects and change initiatives, ensuring stakeholder awareness.
  • Coordinate project-related communications, reporting, scheduling, tasks, project files and data.
  • Support the tracking of project-related resources, risk management activities, budget and expenses.
  • Monitor project deliverables to maintain quality standards.
  • Support change management efforts and engage with project stakeholders.
  • Ensure compliance with policies, capture and share project lessons learned.

Meeting and Event Support:

  • Proactively support Projects Lead for success at group meetings, events and conferences
  • Coordinate with Events department related to training, conferences and/or meetings

Fundraising Responsibilities:

All YFC regular full time employees will be given the opportunity to be involved in the Stewardship functions of YFC/USA. These opportunities could include fund raising events, circle of influence/YFC donor contacts, and other opportunities as provided.

Spiritual Responsibilities:

Because the overriding religious purpose and mission of Youth for Christ USA is to communicate and introduce the Gospel of Jesus Christ to young people and their families, and in that regard to make, educate and encourage life-long disciples of the Lord Jesus Christ, it is very important that you as an employee in the movement of Youth for Christ be recognized as an associate minister of the Gospel.

As an employee of Youth for Christ and an associate minister of the Gospel, YFC expects all employees to:

  • Seek God’s guidance and wisdom, through prayer and meditation, for the organization as a whole as well as for specific ministry initiatives.
  • Participate and lead regular times of prayer, devotion and worship as a regular aspect of your role within YFC.
  • Teach and preach from the Holy Bible at YFC staff meetings, conferences, camps and events.

Additionally, YFC employees will have an opportunity to be commissioned or licensed as a minister of the Gospel through the established Youth for Christ process, and/or ordained by an outside body recognized by Youth for Christ USA. As such, the following additional responsibilities of a spiritual nature will apply to this position:

  • Perform sacramental functions such as the taking of communion and leading times of corporate prayer, confession and praise.
  • Perform and lead religious ceremonies such as weddings, baptism and funerals when called upon by staff and other members of the YFC community.

Position Requirements

Knowledge & Skills:

  • Excellent communication skills. High-level of personal responsiveness, written communication, and verbal communication. Accelerates the response times to emails, phone calls, and other communications to keep the messages moving. 
  • High-level problem-solving skills.
  • Prioritizes excellent customer service.
  • Organized and detail oriented.
  • Proficient in office 365 and the calendar function regarding scheduling.
  • Technology proficient (Smartsheet, Office 365)
  • Proven ability to efficiently manage time and meet deadlines.
  • Collaborative, able to work across multiple departments.
  • Highly adaptable.

Credentials Required & Preferred Education:

  • College graduate preferred or equivalent work/training experience
  • 3-5 years of administrative, project management and/or change management experience.
  • Servant attitude and heart for reaching the lost.

Equipment & Software Utilized:

  • Microsoft Office Suite, Smartsheet, Zoom, Salesforce, Microsoft Teams, Paychex Flex, ExpenseWire

Travel Requirements:

  • Some travel required for events and meetings to manage onsite logistics/support
