Position Summary

Administrative and Office Management

  • Meet, greet and direct visitors
  • Answer telephones and take messages
  • Answer emails, send faxes, and provide website correspondence
  • Pick up/Drop off mail at the post office
  • Pick up/Drop off checks and documents at Hogan Hansen 
  • Process accounts payable
  • Complete filing duties (digital and physical files)
  • Assist with managing the student, volunteer, staff, and donor databases
  • Assist with managing current information on the YFC website/Impact/Knowledgebase and the Leader Journey System
  • Assist with onboard and offboarding of volunteers, staff, and board members and ensuring that all documents are in compliance including reviews, background checks, insurance
  • Order and manage office supplies, equipment, and ministry-related inventory
  • Copy, collate, and bind printed materials
  • Assist in the preparation of weekly/monthly meetings
  • Assist in the preparation of monthly/quarterly/annual reports
  • Assist with administrative projects: chartering, surveys, database information, birthday and thank you cards, promotional materials, Christmas ornaments, donor gifts, and mailings
  • Assist with special events/projects: Comedy Cafe, Peaches, Be the Story, bulk mailings and Newsletters
  • Recruit and oversee a team of volunteers to that help with special projects and mailings
  • Helps ensure that snacks for staff and board members are on hand
  • Manage and facilitate mailings
  • Order and manage building cleaning supplies and assist with general facility upkeep
  • Oversees the weekly cleaning staff
  • Tidies up the front office, kitchen, and boardroom on an as-needed basis
  • Maintain the storage room just off of the kitchenette
  • Ensure the scheduling of donor appointments for the Development Team
  • Attend training opportunities and staff retreats/conferences when appropriate

  • Knowledge of Google Calendar, spreadsheets, email, and data entry.

Credentials Required & Preferred Education

  • High School Diploma or GED Required, AA Degree preferred
  • Proficient in Microsoft Suite, Gmail, Google Calendar, Google Drives, and Zoom

Travel Requirements:

This candidate must possess a driver’s license and be able to transport themselves to and from work, as well as travel to and from Hogan Hansen CPA firm and the post office. Staff retreat events are held quarterly and are considered mandatory. However, transportation to staff retreats is provided.
