Position Summary

PURPOSE

Responsible for overseeing the daily operations of the organization to ensure efficiency, quality & productivity, while implementing best practices to optimize performance. Focused on continuous improvement & operational excellence. Organize, coordinate and carry out human resource projects and processes. Provide administrative support to ensure efficient operation of the office. Support the staff through a variety of tasks related to organization and communication.

ESSENTIAL JOB FUNCTIONS & RESPONSIBILITIES

Hospitality

  • Make guests feel cared for and welcomed by answering the door, answering phones, and managing the welcome screen

Facility, Office, Asset & Tenant Management 

  • Manage building issues, building projects, and tenants at our main office & City Life
  • Manage the day-to-day operations of the main office
  • Manage maintenance, check-in and check-out of vehicles, technology, and other shared supplies
  • Act as primary liaison to ministry staff for office needs
  • Oversee IT support & solve any related issues
  • Lead in managing office vendor relationships including IT, maintenance, video conferencing, etc. 

HR

  • Lead and manage the hiring process, ensuring that hiring and onboarding best practices are being followed
  • Collect & organize new hire documents
  • Manage & coordinate onboarding items 
  • Distribute health insurance & other benefits
  • Track paid time off
  • Oversee and track performance reviews
  • Lead & manage the termination process and conduct exit interviews
  • Implement HR management policies set forth by YFC/USA
  • Ensure health & safety regulation standards are being met
  • Organize, maintain & update employee information as needed
  • Ensure confidential file management  
  • Oversee risk management 
  • Coordinate staff trainings/conferences

Volunteer Ministry Leader Process

  • Lead & manage the application process for all potential volunteer ministry leaders, ensuring that best practices are being followed
  • Keep ministry leader information up to date
  • Assist the grant writer with ministry leader info needed
  • Verify that annual updates are completed for national chartering

Administrative Tasks

  • Keep the master calendar updated 
  • Assist in coordinating meetings 
  • Complete monthly, quarterly & annual reports for YFC/USA
  • Order & organize lunch for staff meetings & gatherings
  • Oversee ministry tracking & metrics
  • Be cross trained on all YFCNIN administrative functions
  • Any other tasks as assigned by the COO

FUNDRAISING RESPONSIBILITIES

All leaders will be given the opportunity to be involved in the stewardship functions of YFCNIN. These opportunities could include fundraising events, YFC donor contacts, and other opportunities as provided.

Youth for Christ is a Christian faith-based, 501c3 organization that requires all staff to be actively living out their Christian faith and committed to a local church body.

Position Requirements

EDUCATION & EXPERIENCE

  • Preferably a bachelor’s degree
  • Proven administrative or assistant experience (3+ yrs)
