Position Summary

To manage the office professionally, with careful efficiency, responsibility and courtesy.

Essential Functions: Manage office, maintain volunteer database, support Executive Director, Financial Director & Ministry Staff with admin. tasks.

Primary Responsibilities

  • Manage & Maintain YFC Office
  • Phones
  • Faxes/Emails
  • Front Desk (Welcome visitors)
  • Copier
  • Supplies
  •  General Office Upkeep – vacuum, light cleaning

 

  • Human Resources
  • Maintain personnel files
  • Track Vacation time/Sick days
  • Distribute Payroll checks/Reimbursement checks/W2’s

 

  • Maintain Staff/Volunteer Database  
  • Process staff/volunteer applications through National onboarding system
  • Maintain and manage annual safety standards compliance 

         

  • Support Executive Director and Ministry Staff
  • With their word processing needs
  • Create flyers/brochures
  • Maintain databases, spreadsheets and compile reports
  • Monthly Ministry Reports
  • Ministry Budgets & Reimbursements
  • Event attendance spreadsheets
  • Support Financial Director
  • Maintain Bank Ledger, reconcile credit card statement, prepare Bill Pay/Check requests, maintain required government filings.

  • The secondary responsibilities will include:
  • Attend weekly staff meetings, MidWeek Connect and monthly Leader of Leader meetings.
  • Participate in chapter-wide initiatives and events
  • Potential ministry with Campus Life, Girl Talk, Parent Life or Juvenile Justice

Because the overriding religious purpose and mission of Youth for Christ USA is to communicate and introduce the Gospel of Jesus Christ to young people and their families, and in that regard to make, educate and encourage life-long disciples of the Lord Jesus Christ, it is very important that you as an employee in the movement of Youth for Christ be recognized as an associate minister of the Gospel.

As an employee of Youth for Christ and an associate minister of the Gospel, YFC expects all employees to:

  • Seek God’s guidance and wisdom, through prayer and meditation, for the organization as a whole as well as for specific ministry initiatives.
  • Participate and lead regular times of prayer, devotion and worship as a regular aspect of your role within YFC.
  • Teach and preach from the Holy Bible at YFC staff meetings, conferences, camps and events.
  • Model empathy, humility and care for all people. This includes promoting equity and inclusion in word and in the practice of faith expression. 

YFC employees will have an opportunity to be commissioned or licensed as a minister of the Gospel through the established Youth for Christ process, and/or ordained by an outside body recognized by Youth for Christ USA. 

All YFC employees are expected to regularly and actively participate in faithful activities that advance the stewardship functions of YFC/USA. These activities will include—but are not limited to— extending invitations to fund raising events, recruiting personal circle of influence/YFC donor contacts, sending letters, handwritten notes, personal calls, and personally ministering to donor contacts.

Knowledge & Skills

  • Work with confidential and sensitive information in a professional manner.
  • Must keep detailed records at all times and develop a highly efficient electronic and paper filing system.
  • Must be comfortable learning and utilizing YFC's Salesforce CRM technology on a daily basis.
  • Work on any special projects as requested with the ability to prioritize and reprioritize.
  • Relationally driven with natural ability to grow and maintain relationships with significant and influential individuals both internally and externally.
  • Strong attention to detail, ability to problem solve, focus and analyze situations and data in the face of conflicting priorities and multiple demands while meeting deadlines and maintaining accuracy.
  • Ability to listen well, follow directions and work collaboratively with colleagues across many departments and ministries.
  • Self-initiated ability to analyze and improve on operations.
  • Must be comfortable with a high frequency of electronic communication.
  • Must have intermediate/advanced typing and computer skills including: Outlook, Excel, Word, PowerPoint, and general internet knowledge.
