Position Summary

The administrator coordinates and provides high-quality, holistic administrative support to the ministry division with coordination of logistics around reporting, trips, and systems to ensure that ministry staff are equipped to engage young people wherever they are as lifelong followers of Jesus Christ. May also support the Development division with logistical needs. 

Ministry Reports (Volunteer, Staff, and Kid)

● Aid in coordination, updating, tracking, and oversight of current volunteer, kid, and ministry staff reports.

Ministry Trips and Event Coordination

● Coordination of logistics for ministry-related trips and events

● Coordination of logistics for ministry volunteer-related events

Administrative Support

● General administrative support to the Ministry Leadership Team

● Coordinate schedule and appointments for Chief Ministry Officer

Project Management

● Aid with project management around key action plans in process connected to WMYFC Strategic Plan or other initiatives.

Fund Development

● Assisting Development Team with key project management

● Assisting Development Director with key reports, metrics, etc.

● Participate in WMYFC’s “See the Story” and “Be the Story” process

Because the overriding religious purpose and mission of Youth for Christ USA is to communicate and introduce the Gospel of Jesus Christ to young people and their families, and in that regard to make, educate and encourage life-long disciples of the Lord Jesus Christ, it is very important that you as an employee in the movement of Youth for Christ be recognized as an associate minister of the Gospel.

As an employee of Youth for Christ and an associate minister of the Gospel, YFC expects all employees to:

  • Seek God’s guidance and wisdom, through prayer and meditation, for the organization as a whole as well as for specific ministry initiatives.
  • Participate and lead regular times of prayer, devotion, and worship as a regular aspect of your role within YFC.
  • Teach and preach from the Holy Bible at YFC staff meetings, conferences, camps, and events.
  • Model empathy, humility, and care for all people. This includes promoting equity and inclusion in word and in the practice of faith expression. 

YFC employees will have an opportunity to be commissioned or licensed as a minister of the Gospel through the established Youth for Christ process, and/or ordained by an outside body recognized by Youth for Christ USA. 

Fundraising Responsibilities

All YFC employees are expected to regularly and actively participate in faithful activities that advance the stewardship functions of YFC/USA. These activities will include—but are not limited to— extending invitations to fundraising events, recruiting a personal circle of influence/YFC donor contacts, sending letters, handwritten notes, personal calls, and personally ministering to donor contacts. 

Position Requirements

Knowledge & Skills

  • Administrative/Executive Assistant experience required.
  • Work with confidential and sensitive information in a professional manner.
  • Must keep detailed records at all times and develop a highly efficient electronic and paper filing system.
  • Must be comfortable learning and utilizing YFC's Salesforce CRM technology on a daily basis.
  • Work on any special projects as requested with the ability to prioritize and reprioritize.
  • Relationally driven with natural ability to grow and maintain relationships with significant and influential individuals both internally and externally.
  • Strong attention to detail, ability to problem solve, focus and analyze situations and data in the face of conflicting priorities and multiple demands while meeting deadlines and maintaining accuracy.
  • Ability to listen well, follow directions and work collaboratively with colleagues across many departments and ministries.
  • Self-initiated ability to analyze and improve on operations.
  • Must be comfortable with a high frequency of electronic communication.
  • Must have typing and computer skills, ideally including Google Platforms, Microsoft Office Suite, Salesforce, Trello, Zoom, Canva, etc.

Credentials Required & Preferred Education

  • Minimum 1 year of experience working in an office environment.
