Position Summary

The Development & Administrative Coordinator is responsible for handling a wide range of administrative and development support for the mission of Tacoma YFC. This role will work with the Development team to assist in carrying out specific tasks to further the Development strategy, as well as provide support as needed to the Executive Director, Executive Team and other ministry leaders as needed. Under direct supervision of the Operations Director, the Coordinator will assist in organizing and coordinating office operations and development procedures in order to ensure organizational effectiveness and efficiency within the area of development and administration. This person must be well organized, take initiative, be flexible, and enjoy the administrative challenges of supporting a team of staff working towards the bigger missional goal of Tacoma YFC. Essential Functions

Development/Event Coordination: (60%)

● Lead alongside the Development team (Development Director, Executive Director and Communication & Marketing Directorannual fund development events: 

  • Celebration of Hope
  • Comedy Cafe, 
  • See the Story events (micro events)
  • Alongside development team smaller donor thank you events 
  • Support ministry and development team with church presentation events

● Lead our volunteer events coordination team to support

● Taking the lead alongside the Development team (Development Director, Executive Director and Communication & Marketing Director) the solicitation pipeline and leads for event sponsorship, and auction item procurement.

● Proficient in simple CRM databases, Microsoft Teams & Programs

● Work with the Marketing & Communication Director to coordinate event promotion

● Manage the Development calendar to include grants, marketing, and giving partner relationships

● Support the overall strategic efforts of the Development team

● Perform receptionist duties: greet visitors, answer phones, respond to emails and teams messages

Admin Support to Executive Director: (35%)

● Manage and support the Executive Director’s calendar and scheduling and helping with email correspondence ● Support and prepare Executive Director engagements with donors and donor information

● Manage Board of Directors correspondence, meetings and Govenda online portal with Executive Director’s input

● Support board, executive, and management meetings through assistance in preparing agendas, pre-read materials, reports, meals, etc.

● Provide administrative support for the Executive Team as needed, to include YFC Impact data entry and maintenance

Direct Fund Development: (5%)

● Full participation with the Development Team (this team includes the Development Director and the Communications & Marketing Director) in leveraging relationships and inviting others to hear and engage the story of Tacoma YFC. Since we are all called to be good stewards of God’s resources means we must collectively work towards a common goal:

  • Be a storyteller - each YFC staff should be ready and willing to share the mission of YFC in a clear and compelling way. YFC staff will be given opportunities to share their stories in different mediums such as the Auction, Comedy Cafe, See the Story/Be the Story and smaller gatherings.
  • Development team members will coach staff how to be “Storytellers”
  • Build personal and community relationships to allow for event invites where the mission of YFC as well as volunteers 
  • Activities (invites, storytelling and relationship building) are tracked using YFC current tracking tools with both prospective and current partners. (Resources & training provided during on-boarding).

● All staff, on occasion, may be asked to give a personal financial invitation as specific opportunities arise.

Spiritual Responsibilities

Because the overriding religious purpose and mission of Youth for Christ USA is to communicate and introduce the Gospel of Jesus Christ to young people and their families, and in that regard to make, educate and encourage life-long disciples of the Lord Jesus Christ, it is very important that you as an employee in the movement of Youth for Christ be recognized as an associate minister of the Gospel. As an employee of Youth for Christ and an associate minister of the Gospel, YFC expects all employees to:

YFC employees will have an opportunity to be commissioned or licensed as a minister of the Gospel through the established Youth for Christ process, and/or ordained by an outside body recognized by Youth for Christ USA.
