We are seeking a highly organized and proactive Administrative Assistant to support the daily operations of our ministry. This role is essential in ensuring smooth administrative processes, maintaining accurate records, supporting volunteer and donor engagement, and enhancing communication efforts. The ideal candidate is detail-oriented, tech-savvy, and passionate about supporting ministry work behind the scenes.
Key Responsibilities:
Volunteer & Staff Support
- Oversee volunteer onboarding and ensure compliance with annual requirements (e.g., background checks, training).
- Maintain updated databases for volunteers, staff, and ministry contacts.
Administrative & Office Duties
- Make copies and deposit checks weekly.
- Format, print, and mail monthly support letters by the 15th of each month.
- Transition physical mailings to email communications to reduce costs.
- Keep mailing and email lists current for monthly communications.
- Assist with miscellaneous printing needs (e.g., pledge cards, flyers, business cards).
Data Management & Reporting
- Collect and upload monthly ministry statistics into the YFC/USA Impact system.
- Maintain updated monthly contributions reports for all staff.
- Ensure year-end donor receipts are prepared and distributed.
Communication & Coordination
- Email board members meeting agendas, minutes, and financial reports ahead of meetings.
- Assist with organizing monthly youth minister networks.
- Support donor appreciation efforts through thank-you cards, emails, and calls.
Event & Fundraising Support
- Assist in planning and executing fundraising events and activities.
- Update and post job descriptions on the YFC/USA website and other platforms.
Digital & Social Media
- Help set up, manage, and update the organization’s Facebook/IG/LinkedIn pages.
Qualifications:
- Proven experience in administrative or office support roles.
- Strong organizational and time management skills.
- Proficiency in Microsoft Office Suite and database management.
- Excellent written and verbal communication skills.
- Ability to handle confidential information with discretion.
- Familiarity with nonprofit or ministry environments is a plus.
Preferred Skills:
- Experience with donor management systems and email marketing tools.
- Basic graphic design or social media management experience.
- Comfort with learning new software and digital tools.
