Position Summary


Provide administrative support to ensure efficient operation of the office. Organize, coordinate and carry out human resource projects and processes. Support the staff through a variety of tasks related to organization and communication.




  • Make guests feel cared for and welcomed by answering the door, answering phones, and managing welcome screen


  • Lead and manage the hiring process, ensuring that hiring and onboarding best practices are being followed
  • Collect & organize new hire documents
  • Assist with onboarding items as needed
  • Distribute health insurance & other benefits
  • Track paid time off
  • Assist with and track performance reviews
  • Lead & manage the termination process and conduct exit interviews
  • Implement HR management policies set forth by the national office
  • Ensure health & safety regulation standards are being met
  • Organize, maintain & update employee information as needed
  • Work with the COO for any risk management issues

Oversee the Ministry Leader Process

  • Lead & manage the application process for all potential volunteer ministry leaders, ensuring that best practices are being followed
  • Keep ministry leader information up to date
  • Assist the grant writer with ministry leader info needed
  • Verify that annual updates are completed for national chartering

Impact Reporting

  • Complete monthly & quarterly reports for the national office
  • Complete annual chartering reports for the national office

Business/Office Management

  • Maintain sufficient amount of office & kitchen supplies
  • Manage facilities projects 
  • Act as primary liaison to ministry staff for office needs
  • Set up lunch and details for meetings
  • Open checks and prepare deposits on a daily basis
  • Lead in managing office vendor relationships including IT, maintenance, video conferencing, etc. 

Staff Training/Conferences Coordination

  • Sign up staff for conferences/training
  • Book hotels
  • Coordinate conference registration for staff and guests

Building & Tenant Management

  • Manage building issues, building projects, and tenants at our main office & City Life

Calendar Management

  • Keep the master calendar updated with events, conferences, etc.
  • Assist in coordinating meetings by comparing individual calendars for teams

Asset Management

  • Manage maintenance, check-in and check-out of vehicles, technology, and other shared supplies

Filing Projects & Confidential Material Management

  • Assist Finance Lead and others with file management

Finance Assistance

  • Assist the Finance Lead with donations processing and updates in Salesforce

Staff Tracking (stats, Impact, prayer, staff attendance, etc.)

  • Track stat sheets submitted weekly

Position Requirements


  • Proven administrative or assistant experience
  • Knowledge of office management systems and procedures
  • Excellent time management skills and ability to multitask and prioritize tasks
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills
  • Proficiency in Google Suite, Microsoft Office, Salesforce


  • Preferably a bachelor’s degree
