Position Summary

The administrator coordinates and provides high-quality, holistic administrative support to Long Island Youth for Christ.

  • Essential Functions of Position:
    • Receptionist/General Duties:
    • Accurately and professionally answer phones, direct calls to proper staff and take messages when necessary.
    • Greet and direct visitors
    • Open and distribute mail
    • Keep office, kitchen and conference room neat, organized and well stocked
    • Order office and kitchen supplies as necessary
  • Mailing Duties:
    • Ability to proofread and edit various letters and documents
    • Work with Post Office for all special, event and bulk mailings
    • Recruit and Coordinate mailing volunteers for all mailings
    • Produce, duplicate and prepare all mailings for post office
    • Work with local printer for regular and special print jobs
    • Keep data base of addresses for mailings current and up-to-date
    • Maintain mailing lists in data base
    • Bring mailings to the post office as needed
    • Pick up print orders from printers as needed
  • Event Support:
    • Prepare correspondence and flyers for all events and trips
    • Track attendees for events and trips including amounts paid and balances owed
    • Send confirmations to attendees via email or snail mail
    • Order tickets, buses, hotel as per event leader
    • Prepare mail for all events
    • Work with Ministry Sites and Staff for trip info and permission forms
    • Use Jot forms to design forms for trips and events
    • Generate reports for staff
    • Correspond with parents of students for events

Because the overriding religious purpose and mission of Youth for Christ USA is to communicate and introduce the Gospel of Jesus Christ to young people and their families, and in that regard to make, educate and encourage lifelongdisciples of the Lord Jesus Christ, it is very important that you as an employee in the movement of Youth for Christ be recognized as an associate minister of the Gospel.

 

As an employee of Youth for Christ and an associate minister of the Gospel, YFC expects all employees to:

  • Seek God’s guidance and wisdom, through prayer and meditation, for the organization as a whole as well as for specific ministry initiatives.
  •  Participate and lead regular times of prayer, devotion and worship as a regular aspect of your role within YFC.
  • Teach and preach from the Holy Bible at YFC staff meetings, conferences, camps and events.

Fundraising Responsibilities:

All YFC employees are expected to regularly and actively participate in faithful activities that advance the stewardship functions of YFC/USA. These activities will include—but are not limited to— extending invitations to fund raising events, recruiting personal circle of influence/YFC donor contacts, sending letters, handwritten notes, personal calls, and personally ministering to donor contacts.

  • Administrative experience required.
  • Work with confidential and sensitive information in a professional manner.
  • Must keep detailed records at all times and develop a highly efficient electronic and paper filing system.
  • Must be comfortable learning and utilizing YFC's DonorPerfect technology on a daily basis.
  • Work on any special projects as requested with the ability to prioritize and reprioritize.
  • Relationally driven with natural ability to grow and maintain relationships with significant and influential individuals both internally and externally.
  • Strong attention to detail, ability to problem solve, focus and analyze situations and data in the face of conflicting priorities and multiple demands while meeting deadlines and maintaining accuracy.
  • Ability to listen well, follow directions and work collaboratively with with colleagues.
  • Self-initiated ability to analyze and improve on operations.
  • Must be comfortable with a high frequency of electronic communication.
  • Must have intermediate/advanced typing and computer skills including: Outlook, Excel, Word, PowerPoint, and general internet knowledge.

Credentials Required & Preferred Education



  • Highschool diploma needed, Associates degree a plus
  • Proficient in Microsoft Suite
  • Minimum 1 year of experience working in an office environment.
  • Flexibility to occasionally work weekends or evenings for Special Events (2 -3 times per year)
  • Physical Requirements
  • Ability to communicate orally with customers, vendors, management, and other co-workers is crucial. Regular use of the telephone and e-mail for communication is essential. Sitting for extended periods is common. 
  • Occasional heavy lifting is expected, where exertion of up to 20 lbs. of force may be required. Good manual dexterity required for the use of computers, mobile devices, and other productivity technologies.
  • Use of a car will be needed on occasion to run errands to the local printer, post office, supply store etc.
